The ALS owners came to me frustrated. Their existing cold calling workflow used N8N and required significant manual work every time they wanted to run a campaign: upload leads, configure calls, review recordings one by one, manually update the CRM. Looking at it, almost all of that is automatable.
What I built
Two things. First, a calculator for their public website where financial managers can plug in a life settlement policy's details and get an instant valuation estimate. Second, and more substantial, a full internal calling platform that handles everything from lead import to campaign execution to post-call analysis.
The platform imports leads and deduplicates them against existing records automatically. You build a target list, configure the campaign parameters (which phone numbers to rotate through, when to stop, max calls per number, time limits), and kick it off. VAPI handles the actual calls. The system cycles through numbers, handles faults gracefully, and auto-terminates when it hits any configured stop condition. Leads that hit voicemail get enrolled in cold email sequences rather than just being dropped.
What was technically interesting
VAPI sends a high volume of webhooks and they need to be processed reliably and in order. Handling them inline would have caused race conditions and dropped events under load. I built a proper queue system to sequence them correctly.
The Microsoft Dynamics integration was genuinely painful. It is a complex CRM with inconsistent APIs and the documentation does not fully reflect production behavior. Getting reliable bidirectional sync working took more time than the rest of the backend combined. The AI analysis prompt also took meaningful iteration to surface the signals the client actually cares about rather than generic sentiment summaries.
Results
500+ calls per day. 3-4 qualified leads generated daily. 90%+ reduction in time spent on manual campaign setup and call review. The client went from spending hours per day managing their calling operation to checking a dashboard.
